Import & Export workflow configuration to multiple legal entities in Dynamics 365 F&O/ HR

In this article, we will see how to import and export workflow configuration to multiple legal entities.

This is possible in Dynamics 365 F&O/ HR and most of the time user does not know this feature. They are always try to create new configuration in other legal entities. To avoid this situation, We can use standard feature. We can achieve this with two steps.

  1. Export workflow configuration.
  2. Import workflow configuration.

Lets see this detailed.

Export workflow configuration.

Exporting a workflow can occur in any module in Dynamics 365 F&O/HR that allows workflow.  In my example, I will be using the Dynamics 365 HR.

Step 1: Login to Dynamics 365 HR > Select legal entity Step 2 : Click on Leave and absence > Links > Human resource workflows.

Step 3: Select workflow > Click on Workflow tab and click on versions.

Step 4: Select correct version and click on Export.

It will download an xml file and you can find in your download folder(depends on settings).

Import workflow configuration.

To import workflow, first change the legal entity where you want to import this workflow. In my case, I am going to import workflow to USSI company.

Once you changed the legal entity then go to Leave and Absence > Links > HR workflows.

There is no workflow for Leave request and we will import workflow here.

Now, click on Import button at top under workflow tab.

After clicking import button, It will show a dialog to select below options.

  1. Browse: The location of XML file.
  2. Upload: To upload workflow configuration
  3. Create new workflow on version conflict: Yes

Click OK to import workflow. The workflow is created in the USSI legal entity.

Now, you can use this workflow for other functionalities. For example, You can create a new leave type and use this workflow.
